Terms and Conditions – Orchard House Holiday

These Terms and Conditions govern all bookings and stays at Orchard House Holiday ('we', 'us', 'our'). By making a booking or accessing our services, you agree to be bound by these Terms and Conditions.
Introduction
These Terms and Conditions apply to the website orchardhouseholiday.co.uk and to all bookings and stays at Orchard House Holiday.
By completing a booking, you confirm that you have read, understood, and agree to these Terms and Conditions.
Bookings

All bookings must be made by individuals aged 18 or over.

Bookings are only confirmed once full payment has been received. Payment must be made within 24 hours of receiving the booking confirmation email. If payment is not received, the booking may be cancelled.

All bookings are subject to availability.

You agree that all information you provide during booking is accurate and complete.
Cancellation & Refund Policy

All cancellations must be made in writing via email to: hello@orchardhouseholiday.co.uk.

Refunds are issued as follows:

Cancellations at more than 7 full days before arrival: 100% refund.

Cancellations between 48hrs to 7 full days before arrival: 50% refund.

Less than 48hrs before arrival, and no-shows, are treated as cancellations with no refund.

If we must cancel your booking for reasons within our control, you will receive a full refund. We are not liable for additional costs you may incur (e.g. travel).
Arrival & Departure

Check-in time is from 3pm, and check-out is by 11am.

Late check-outs may incur additional charges, and must be approved in advance.

You must inform us of your estimated arrival time at least 48 hours in advance.
Use of the Property

The shepherd hut is provided for holiday and leisure use only. It must not be used for commercial purposes, parties, or organised events without our prior written consent.

Maximum occupancy is 4 guests – 2 adults and 2 children. An infant can be additional to 4 occupants – a travel cot can be provided upon request. Exceeding the maximum occupancy may result in termination of your stay, without refund.

Guests must behave respectfully and must not cause nuisance or disturbance to neighbours. Quiet hours are from 8:00pm onwards.

You must leave the property in a reasonably clean and tidy condition.
Pets & Smoking

Pets are only welcome at an additional cost of £25 per stay, and with advanced written permission from Orchard House Holiday. Owners are fully responsible for any damage or disturbance caused by their animals. Pets must not be left unattended in the property.

Smoking and vaping are strictly prohibited inside the shepherd hut.
Damage, Security & Liability

You are responsible for any loss or damage to the property, furnishings, or contents, caused during your stay.

We reserve the right to charge reasonable costs for repairs, replacement, or additional cleaning.

Orchard House Holiday accepts no liability for:

loss, damage, or theft of personal belongings,
-
personal injury,
-
loss, damage, or theft to vehicles.

You must take reasonable steps to secure the property (e.g. locking doors and windows when leaving).
Complaints

If you experience any issue during your stay, please notify us as soon as possible so we can attempt to resolve it.

Complaints made after departure cannot be considered unless first raised during your stay.
Force Majeure

We are not liable for cancellations, changes, or interruptions caused by events outside our reasonable control, including extreme weather, power outages, transport disruptions, pandemics, or government restrictions.
Privacy & Data Protection (GDPR)

We are committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

We collect and process personal data solely for purposes related to managing your booking, communicating with you, and complying with legal requirements.

We only retain your data for as long as is necessary for these purposes.

We do not share your personal data with third parties unless:

it is required to process your booking (e.g. payment processors),

we have your explicit consent,

we are legally required to do so.

Governing Law

These Terms and Conditions are governed by the laws of England and Wales.

Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
